Leave year overview#

For: Manager | Admin You’ll need: Permission to view reports (your manager will know).

Leave year overview is the one-page summary of where everyone stands this leave year — hours contracted and worked, plus the allowance, grant, usage, and balance for each leave type. It’s the report most managers open first when checking leave.

Open the report#

  1. In the header, open the Reports dropdown.

  2. Under Workforce, click ‘Leave year overview’.

What the window is#

The report opens on the current leave year. Shiftavo works that out for you from your company’s leave-year setting — there’s no period to create or close.

  • In fixed-date mode, everyone shares the same window and its dates show in the header.

  • In hire-anniversary mode, each person is reported over their own leave year, running from their hire date.

Look at an earlier leave year#

Next to the ‘Filter’ button there’s a ‘Leave year’ dropdown. Open it and pick a year — the report reloads on that window, with every column recalculated. It’s the quickest way to answer “how much did she carry over last year?” without exporting anything.

Filter the data#

  1. Open the ‘Person’ filter at the top of the report.

  2. Pick one or more people to narrow the list. Leave it empty to see everyone.

Read the rows#

Each person has one row per leave type, and a bold ‘Total’ row closes the report with the worked, contracted, and variance hours summed across everyone on the list.

Note

Leave types tracked as spell or unlimited only appear when there was activity in the window. A sick-leave policy nobody used this year isn’t listed as an empty row — the report shows what happened, not every policy that exists. Balance policies always appear, because their balance is meaningful even at zero.

Export#

Verify it worked#

Each person on the team appears with a row per leave type, and the ‘Balance’ column equals ‘Allowance’ plus ‘Granted’ minus ‘Used’ for that leave type.
