How a worker uses the kiosk#
For: Shift worker (no manager action needed on most days) You’ll need: A scheduled shift at this location today, and your 4-digit PIN.
You’ll tap your name, type your PIN, and pick one of four actions: ‘Clock in’, ‘Clock out’, ‘Start break’, ‘End break’.
At the start of your shift#
Walk up to the tablet. The grid shows everyone with a shift here today that hasn’t ended yet, and everyone already clocked in here.
Tap your card.
Type your 4-digit PIN on the keypad.
Tap ‘Clock in’.
The tablet goes back to the grid, where your status pill now reads ‘Clocked in’.
Going on break#
Tap your card.
Type your PIN.
Tap ‘Start break’.
If ‘Which break?’ appears, choose ‘Meal break’ or ‘Rest break’. A single available kind is selected automatically.
Your status pill reads ‘On break’.
To come back from break, do the same and tap ‘End break’.
At the end of your shift#
Tap your card.
Type your PIN.
Tap ‘Clock out’.
Your status pill reads ‘Off’. If you were on a break, it’s closed automatically.
If your company’s break policy pays for missed breaks, the tablet then asks about your breaks today. Tap your answers and ‘Send’, or tap ‘Skip’. See How to answer the break questions.
Note
Clocking out is your confirmation that the recorded hours are correct — there’s nothing else for you to do. They’re approved afterwards, by a manager or automatically, depending on your company. See How confirmation and approval work. If you spot a mistake after clocking out, tell your manager so they can fix it.
Can I clock in early?#
Only a little. Clocking in opens a set number of minutes before the scheduled start — 30 unless your company changed its ‘Clock-in opens before shift (minutes)’ setting. A late clock-in is never blocked. If you’re too early, the tablet tells you when the window opens, for example: “Too early — you can clock in from 17:55”. Wait, or ask your manager whether the window can be wider.
What if my card isn’t there?#
Your card appears if either of these is true:
You have a published shift here that starts within about 12 hours either side of now, hasn’t ended yet, and that you haven’t declined.
You’re clocked in here — even if the shift has since been unpublished or cancelled, so you can still clock out.
“Here” means this tablet’s location; a tablet tied to an area also needs the shift to be in that area or in none. A draft, a cancelled shift, a meeting or other event, and a shift that ended without a clock-in don’t put you on the grid. If your card is still missing, ask your manager — you may be looking at the wrong tablet, or the shift may be missing from the schedule.
If new punches are disabled#
When your company or a manager switches this tablet off, it shows “New punches are disabled. You can still finish an open shift or break.” Only people with an open shift, an open break, or a forgotten clock-out are listed. You can still clock out or end your break, and answer when you finished a shift you forgot to clock out of — but nobody can clock in or start a break here. Ask your manager.
What if my PIN doesn’t work?#
“Wrong PIN” — make sure you’re typing 4 digits; kiosk PINs are always 4 digits.
“PIN locked” — after 5 wrong attempts, the tablet locks you out for 15 minutes. Wait it out or ask a manager to reset your PIN (How to manage kiosk PINs).
“No PIN set” — you’ve never been given a PIN. Ask a manager to set one for you.
Common errors#
“Clocked in elsewhere — clocked in at Bar tablet” — You forgot to clock out at another tablet. Go there and clock out, or ask a manager to fix the timesheet.
“No shift scheduled” — Wrong tablet, the schedule wasn’t published in time, or your shift has already ended.
“Wrong tablet — clocked in at …” — Your clock-in happened on a different tablet. Clock out where you clocked in.
“Locked” — A manager has already approved your hours on this shift for payroll. Ask them.
“Kiosk disabled” — New punches are switched off on this tablet. You can still clock out or end your break.
Verify it worked#
After a successful punch the tablet returns to the name grid, and the shift shows up on the timesheet with the clock time you just recorded — see How to view and filter the timesheet.
