How to open a leave request for review

How to open a leave request for review#

For: Manager | Admin You’ll need: A leave request to review — usually one with status ‘Pending’.

You’ll open the review form, see the worker’s request as read-only fields, leave admin notes, and find the action buttons that move the request through the workflow.

Open the review form#

  1. In the header, go to Company → Leave requests.

  2. Click the row of the request you want to review.

The page opens with all request fields locked: requester, policy, start and end dates, hours, the worker’s note. Below them sits the ‘Admin notes’ textarea and the action buttons.

  1. Tap More → Manager → Leave requests.

  2. Tap the request you want to review.

The detail is titled with the employee’s name and is read-only: ‘Employee’, ‘Leave type’, ‘Start’, ‘End’, ‘Status’, ‘Hours requested’, the worker’s ‘Notes’, and any ‘Review notes’ already left by a manager. The decision buttons sit at the bottom.

Read what’s available#

The action buttons are gated by the request’s current status, so you’ll only ever see what’s valid:

‘Pending’

‘Approve’, ‘Decline’, ‘Change end date’

‘Confirmed’

‘Revoke’, ‘Change end date’

‘Confirmed’ and flagged ‘Extended’

the above, plus ‘Acknowledge’

‘Declined’ or ‘Revoked’

(none — request is terminal)

Deleting a request isn’t available on mobile — use the web app for that.

‘Change end date’ corrects the dates rather than deciding on them — see How to change an absence’s end date. ‘Acknowledge’ appears only on an absence the worker lengthened themselves — see How to acknowledge an extended absence.

Add admin notes#

  1. In the ‘Admin notes’ textarea, enter context for your decision — coverage notes, conversations with the worker, links to docs.

  2. Notes are visible to other managers on the request. They’re saved with the action when you click Approve, Decline, or Revoke.

There’s no notes field on the detail itself. Notes are collected at the moment you decide: tapping Approve or Decline opens a sheet with a ‘Notes (optional)’ box, and what you type there is submitted with the decision. Revoke takes no notes.

Notes already on the request show up as ‘Review notes’ on the detail, visible to other managers.

Verify it worked#

When you click an action button, the request reloads with its new status badge and a stamp showing ‘Reviewed by’ you and the time. The button row shrinks to whatever’s still valid for the new state.
