How to add a shift#

For: Manager You’ll need: At least one location and one position. See Locations and Positions.

Create a single shift — date, time, position, location, optionally with people assigned. Times are entered in the location’s local timezone.

Open the create form#

  1. Go to Planning → Planning list and click ‘Create’ → ‘Shift’ (or use any of the calendar entry points in How to add a shift from the calendar).

  1. Tap Shifts in the bottom bar.

  2. Tap the + button in the top bar. (It only appears for managers, and it is greyed out while you’re offline.)

  3. Choose Create shift.

Fill in the basics#

  1. Choose a position from the ‘Position’ dropdown.

  2. Choose a location from the ‘Location’ dropdown.

  3. (Optional) Choose an area from the ‘Area’ dropdown.

  4. Set the start date and time and the end date and time — both in the location’s timezone.

  5. (Optional) Set min and max headcount.

  6. (Optional) Add notes.

The fields are in the same order as the shift detail: start, end, repeat, location, area, position, notes.

  1. Tap Start and pick the start date and time on the wheel.

  2. Tap End and pick the end date and time.

  3. Tap Location and choose a location.

  4. (Optional) Tap Area and choose an area.

  5. Tap Position and choose a position.

  6. (Optional) Type into the Notes field.

Times are entered as the wall-clock time of the shift’s location, exactly as on the web form. Min and max headcount aren’t on the mobile form — set them on the web if you need them.

Assign people (optional)#

  1. In the ‘People’ picker, choose people from the eligible pool. See How to assign a person from the eligible pool for the full assignment flow.

A brand-new shift has no Assignments section yet — save it first, reopen it, and assign from there.

  1. Save the shift (next step).

  2. Open the shift again and tap Edit.

  3. Assign from the Assignments section — see How to assign a person from the eligible pool.

Save#

  1. Click ‘Save’.

  1. Tap Save in the top bar (Done on iOS).

Missing required fields are listed under the form after the first save attempt. Saving needs a connection — the action is greyed out offline.

Verify it worked#

A toast confirms the create with the shift’s date and time, and the shift appears on the calendar and in the list.
