Add a person#

For: Owner | Manager | Admin You’ll need: Permission to add people — Owner, Admin, and Manager have it — and at least one location set up.

You’ll create a profile for a new team member. The same form covers two cases: adding someone whose login you’ll set up later, and adding someone you want to invite via email right now.

Open the people form#

  1. In the sidebar, go to Company → People.

  2. Click ‘Create’ in the top-right. (On an empty list the button reads ‘Create person’.)

  1. Tap More in the bottom bar.

  2. Tap ‘Manager’, then ‘People’.

  3. Tap the add (+) button — the floating button on Android, the + in the top bar on iOS. It only shows if your role may add people.

Fill in the basics#

  1. Enter the ‘Email’ address. This is also their login.

  2. Enter the ‘First name’ and ‘Last name’.

  3. (Optional) Enter the ‘Work phone’ and ‘Private phone’ numbers. Two separate fields, so the number your team can call is never mixed up with the one that’s personal.

  4. (Optional) Enter the address fields.

  1. Enter the ‘First name’ and ‘Last name’.

  2. Enter the ‘Email’ address. This is also their login, and it can’t be changed later.

  3. (Optional) Fill in ‘Street’, ‘ZIP’ and ‘City’.

  4. (Optional) Enter the ‘Work phone’ and ‘Private phone’ numbers. Two separate fields, so the number your team can call is never mixed up with the one that’s personal.

Set their work details#

  1. Open the ‘Locations’ dropdown and pick at least one.

  2. Choose an ‘Employment type’ and enter the ‘Hire date’ — both are required.

  3. Choose a ‘Role’ — it decides what this person may see and do. ‘Employee’ is the default; see How roles decide what someone can do. The list only offers roles you may hand out: at or below your own authority, and carrying no editable permission you don’t hold yourself.

  4. (Optional) Enter an hourly rate, a work-policy override, or notes.

  5. (Optional) Pick any ‘Break waivers’ that apply.

  1. Tap ‘Role’ and pick one. The list is the same one the web form offers — the roles you’re allowed to hand out, including any your company added itself.

  2. Tap ‘Locations’ and tick at least one. Tap the back arrow to return to the form.

  3. (Optional) Enter an ‘Hourly rate’.

Employment type, hire date, work-policy override, break waivers and notes aren’t on the mobile form — set them on the web afterwards.

Send an invitation (optional)#

To invite the person to Shiftavo, tick ‘Send invitation’ before saving. The invitation waits until their login and company profile are ready, then includes a link to How to set your password after an invitation.

If you leave the box unticked, the person record is still created — useful when you’re building your people list ahead of time and don’t want to fire emails yet. You can invite them later from their profile.

Tip

Adding several people? Save each one in turn. Each requested invitation waits for that person’s setup to finish.

Note

The invitation checkbox is web only. The mobile form has no ‘Send invitation’ option, so use the web app when you want to control the invitation email yourself.

Save#

Click ‘Save’.

Tap ‘Add’ in the top bar. It stays disabled until you’ve entered an email address and picked at least one location. The app returns to People and shows pending setup separately until the person is ready.

Setup stays pending if a step fails and retries automatically. On the web, the setup page refreshes itself; on mobile, refresh People to check progress. A pending setup is different from a pending invitation: no invitation is sent before the login and company profile are both ready. Do not add the same person again while setup is pending.

Verify it worked#

After setup, the person appears at Company → People. Their membership status is:

  • ‘Pending’ — invitation sent, password not yet set.

  • ‘Inactive’ — setup completed without an invitation. Invite or activate the person when you are ready.

A pending invitation flips to ‘Active’ the first time they sign in. If the email doesn’t arrive, see Re-send an invitation.
