How to cancel a shift

How to cancel a shift#

For: Manager You’ll need: A published shift.

Cancelling tells the team a shift won’t run while keeping it on the record — reports can still account for it. That’s the difference from deleting: a deleted shift is gone; a cancelled shift stays on the calendar with a ‘Cancelled’ badge.

Cancel is for shifts the team has already seen. If the shift is still freshly published and hasn’t started, you can also retract it back to draft instead — see How to publish or unpublish a single shift.

Cancel it#

  1. Open the shift from the calendar or the planning list.

  2. Click ‘Cancel shift’ in the top row. (The button only appears on a published shift that isn’t locked by an approved time entry.)

  3. In the ‘Cancel this shift or recurring series?’ dialog, click ‘Cancel shift’ — or ‘Keep shift’ to back out.

Assigned team members are notified, and the shift is removed from everyone’s planning list. This cannot be undone. Live marketplace offers on the shift close as ‘Expired’ (or ‘Completed’ if someone was already picked for an open shift).

On a recurring shift, cancelling applies to the whole series — every occurrence at a location you have access to — and a cancelled series stops generating new occurrences.

A shift where someone has already clocked in can’t be cancelled — you see “This shift can no longer be cancelled.” In a series, those occurrences are skipped and the rest are cancelled.

Note

A cancelled shift can’t be clocked. If someone needs to work that time after all, create a new shift.
