How to review break answers#
For: Manager You’ll need: Permission to approve time entries, and a break policy that pays for missed breaks.
Where a break policy pays for missed breaks, people answer up to two questions about their breaks after clocking out. You’ll read those answers, record a reason where you know why a break was missed, and see what still holds automatic approval.
Find the answers#
On the timesheet — a ‘Break answers’ badge marks a row with answers or a reason; hover over it to read them.
On the time entry — open Planning → Management → Timesheet and click the row. The ‘Break answers’ section lists each question with the person’s answer, or ‘Not answered’.
In the Time worked report — in the ‘Per shift’ view, a ‘Break answers’ badge marks the row; hover over it to read the answers and any reason. The CSV and XLSX downloads carry them in a Break answers column.
In the app — tap More, then ‘Manager’, then ‘Timesheets’, and tap the row. Its sheet lists the answers and a manager’s reason, for example “Meal breaks: Work prevented one”. The app shows them read-only.
In Payroll detail — each missed-break pay row shows the answer and the reason next to its hours.
Record a reason#
On the web, open Planning → Management → Timesheet and click the row to open its time entry.
In ‘Break answers’, fill in ‘Meal break reason’, ‘Rest break reason’ or both — for example, a meal the schedule left no room for.
Click ‘Save reasons’.
A reason explains its kind of break for that workday. The break issues stay visible, but they no longer hold automatic approval, and missed-break pay for that kind is excused. You can’t record a reason on your own time entry.
What holds automatic approval#
Where the break policy asks the questions:
After a clock-out at the kiosk or in the app, automatic approval waits until the person answers or skips the questions.
A break issue of a kind with neither an answer nor a reason holds it — the row reads “The break questions for this day are unanswered.”
‘Work prevented one’ next to a recorded unpaid meal holds it too: “The person reported they worked through a meal break, but a meal is recorded. Correct the meal, or approve the hours yourself.”
A ‘Yes’ answer, or a voluntary skip where the policy lets one excuse the kind, explains the kind like a reason does. Your own ‘Approve’ is never held. See How missed-break pay works.
Verify it worked#
Reopen the time entry: your reason shows under its question. In Reports → Payroll detail, that workday’s missed-break pay row for the kind reads ‘Excused’.
