How to change what a role may do#

For: Admin You’ll need: A plan that includes custom roles — Plus or Pro — permission to change roles, and a role your company added itself.

You’ll rename a role or re-tick its permissions. Changes take effect immediately for everyone who holds it.

Open the role#

  1. In the sidebar, go to Company → Roles.

  2. Click the role’s row, or ‘Edit’ in the ‘Action’ column. ‘Edit’ only appears on roles that rank at or below your own.

Change it#

  1. Update the ‘Name’ and ‘Description’ if you want.

  2. Under ‘Permissions’, open the sections you want to change and tick or untick actions. The badge on each section header shows how many of its actions are ticked.

  3. Click ‘Save’.

‘Based on’ and ‘Data scope’ are shown but can’t be changed — a role keeps the data scope it inherited when it was created.

Note

You can’t remove your own permission to change roles — that’s refused when you save, with the reason shown above the form. A permission you don’t hold yourself is grayed out: you can’t tick it, and you can’t untick it either, so it stays on the role as it is. The other rules for ticking are the same as when you create a role — see How to create a role of your own.

A role with ‘Change own or in-scope time entries’ always keeps ‘Confirm own (or on-behalf) worked hours’ — if you untick it, saving ticks it again. Saving corrected hours confirms them, so correcting without confirming isn’t possible.

Who’s on the role#

The right-hand ‘People’ panel lists everyone holding this role, with their locations. Only people you’re allowed to see are listed. Read it before a big change — those are the people the change lands on.

What you can’t edit#

  • A built-in role. Its page opens read-only with a notice: built-in roles ship with Shiftavo and stay in step with it as it changes. To get something different, create a role based on it — see How to create a role of your own.

  • A role above your own authority. If your role ranks below the one you’re trying to change, the page isn’t there for you at all — its row on the Roles list opens the read-only detail page instead.

  • Anything, if your plan doesn’t include custom roles. The page opens read-only with an upgrade notice. Your roles keep working and nobody loses access.

Verify it worked#

You’re back on the Roles list with a confirmation, and the row shows the new name. Open the role’s detail page to read back exactly what it now grants.
