How to manage break rules#
For: Admin You’ll need: A break policy to put the rule in, and a clear picture of which working times trigger which breaks under your local labor law.
You’ll create, edit, duplicate and delete the rules that planning and the recorded-break check apply. A rule applies through the break policies it belongs to: the people whose work policy picks one of those policies owe its break. See Break policies.
Find a rule#
Open the rules of one policy, or all of them:
One policy — go to Company → Policies & rules → Break policies and click the policy. Its page lists its ‘Break rules’.
All rules — go to Company → Policies & rules → Break rules. You see one row per rule with its name, code, the break policies it belongs to, its priority and its duration. Filter by break policy or kind, add any other field with ‘Manage columns’, and click a column header to sort.
Create a break rule#
On the policy’s page, click ‘Create break rule’ under ‘Break rules’. (From the ‘Break rules’ list, click ‘Create’ in the top-right instead, and pick the policy yourself.)
Fill in ‘Name’, ‘Code’, ‘Kind’ and ‘Priority’. Name and code must each be unique in your company.
In ‘Break policies’, the policy you came from is already selected. Add any other policy the rule belongs to.
Answer the questions below — owed for working time, length, when it must happen, every stretch of work, waiver, standing alone, which shifts, and how a new break under the rule starts. See What each break rule question means.
Click ‘Save’.
You’re back where you started: on the policy’s page, or on the list.
Edit a break rule#
Click the rule on the policy’s page, or ‘Edit’ on its row in the list.
Change what you need. Each question shows ‘Reads as:’ — the rule in a sentence, as last saved.
Click ‘Save’.
Note
A rule that belongs to several break policies changes in all of them, for everyone under any of them. Changes apply on the next calculation, including checks of past time entries. Waiver history keeps when a waiver applied; it doesn’t freeze earlier versions of the rule.
Duplicate a break rule#
On the rule’s page, click ‘Duplicate’ in the top-right.
Fill in a new ‘Name’ and ‘Code’ — everything else is copied. The copy belongs to the same break policies as the original; opened from a policy’s page, it belongs to that policy only.
Click ‘Save’.
Delete a break rule#
On the rule’s page, click ‘Delete’ and confirm in the dialog.
A rule someone has waived can’t be deleted, because its waiver history is kept: “Can’t delete — 1 item still uses this break rule. Remove it first.”
To delete several, tick their checkboxes on the ‘Break rules’ list — or open the ▾ menu in the selection column header and choose ‘Select all pages’ — then click ‘Delete selected’ below the table and confirm with ‘Delete item’.
Verify it worked#
The rule is listed on its policy’s page with its kind and duration. Open a qualifying shift for someone whose work policy picks that policy and check its listed break requirements. To check recorded attendance too, set a tolerance on the policy — see What the break policy settings do.
