How to see every role in your company

How to see every role in your company#

For: Admin You’ll need: Permission to view roles — Owner and Admin have it.

You’ll open the Roles list, read what each role grants, and see how many people hold it. The list works on every plan, including plans without custom roles: reading what a role may do is never restricted.

Open the list#

  1. In the sidebar, go to Company.

  2. Click the ‘Roles’ card.

Roles are listed by authority, most powerful first, then alphabetically.

Read the columns#

Column

What it tells you

‘Name’

What the role is called. Built-in roles show their Shiftavo name in your language; your own roles show the name you gave them.

‘Data scope’

Which records the role reaches — see How roles decide what someone can do.

‘Based on’

The role this one was copied from. Empty for a built-in role.

‘Built-in’

A ‘Built-in’ badge marks the five roles that ship with Shiftavo. Your own roles leave the cell empty.

‘People’

How many people currently hold the role. Only people you’re allowed to see are counted.

‘Description’

The one-line description, if the role has one.

Use ‘Manage columns’ (top-right) to hide the ones you don’t need or change their order — the choice is remembered for you.

Narrow the list#

Click the ‘Filter’ icon in the top-right:

  • ‘Name’ — search by name.

  • ‘Data scope’ — pick one or more scopes.

  • ‘Built-in’ — ‘All’, ‘Built-in’, or ‘Custom’ to see only the roles your company added.

Click a column header to sort by it; click again to reverse.

Open one role#

Click any row. If you’re allowed to change roles and the role ranks at or below your own, you land on the role’s form, and the ‘Action’ column reads ‘Edit’. Otherwise you get its read-only detail page, and the column reads ‘View’. The detail page names every permission the role grants plus the fixed ones it can’t switch off, and lists the people on it.

Verify it worked#

You see all five built-in roles — ‘Owner’, ‘Admin’, ‘Manager’, ‘Employee’ and ‘Kiosk’ — each with a ‘Built-in’ badge, plus any role your company has added.
