How to create a general event#
For: Manager You’ll need: Nothing — location and area are optional on events.
Put a meeting, a training, or a party on the plan. Attendees see it once you publish and answer with an RSVP.
Open the create form#
On the Shift calendar or the Shift list, click ‘Create’ → ‘Event’.
Fill in the details#
In the ‘Name’ field, type what the event is — “Monthly staff meeting”.
Set the start and end date and time, or tick ‘All day’.
(Optional) Tick ‘Repeat event’ for a recurring event — the same rules as How to plan a recurring shift.
(Optional) Choose a ‘Location’ and ‘Area’.
Choose who it’s for#
Open the ‘Attendance’ dropdown:
‘Required’ — the people you pick must attend; their RSVP is tracked.
‘Optional’ — the people you pick may attend; they also get a ‘Tentative’ RSVP option.
‘Informational’ — no individual invitations; the event is visible to everyone.
For required and optional events, pick people in the ‘Attendees’ field.
(Optional) Turn on ‘Paid time’ if attendees can clock in and the event counts toward payroll.
Save#
Click ‘Save’.
The event is created as a draft — attendees don’t see it yet. Publish it when it’s confirmed: How to publish, unpublish, or cancel an event.
Example. A required “First-aid refresher, Tue 14:00 – 16:00” with four attendees: after you publish, each of the four gets a notification and a ‘Going’ / ‘Decline’ choice, and you watch the answers come in on the event’s ‘Attendees’ list.
Generated occurrences keep the event name, attendance requirement, paid-time setting and all-day setting of the original event.
New occurrences of required or optional events inherit the original event’s current attendees. Attendee changes on existing occurrences are kept. When Shiftavo extends a published series, each attendee gets one combined notice for the new occurrences. Occurrences that appear because someone opened the calendar further ahead send no notice at all.
Verify it worked#
The event appears on the calendar and the planning list under its name, with a ‘Draft’ badge.
