How to publish, unpublish, or cancel an event#
For: Manager You’ll need: A general event — see How to create a general event.
A general event follows the same lifecycle as a shift: draft until you publish, then visible to its attendees. The three state buttons sit at the top of the event’s edit page. On a recurring event, each of them acts on the whole series — every occurrence at a location you have access to — and skips any occurrence it can’t change.
Publish a draft#
Open the event from the calendar or the planning list.
Click ‘Publish’ in the top row.
Attendees are notified, and required and optional events start collecting RSVPs — you see each answer next to the name in the ‘Attendees’ list.
Unpublish — take it back to draft#
Use this while the event hasn’t started and you want to rework it quietly.
Open the event and click ‘Unpublish’.
In the ‘Unpublish this event or recurring series?’ dialog, click ‘Unpublish’.
The team no longer sees it and it returns to draft. Everyone assigned is notified, and their RSVPs go back to ‘Pending’.
Cancel — the event won’t happen#
Use this when the team has already seen the event. Unlike unpublish, cancelling also works after the event has started.
Open the event and click ‘Cancel event’.
In the ‘Cancel this event or recurring series?’ dialog, click ‘Cancel event’ — or ‘Keep event’ to back out.
The event is removed from everyone’s planning list and assigned people are notified. This cannot be undone. An event where someone has already clocked in can’t be cancelled — you see “This event can no longer be cancelled.”
Verify it worked#
The event’s status badge on the planning list reads ‘Published’, ‘Draft’, or ‘Cancelled’ to match what you did.
