How to complete the company setup#
For: Admin You’ll need: Owner role on a new company — one you created at sign-up or added on the ‘Manage companies’ page.
Every new company starts with a short setup: four questions about your leave year, currency, workweek and payroll. You answer them once, before anyone’s leave is booked — Shiftavo needs your leave year before it grants the first leave balances, and the leave year can’t change after that.
Open the setup#
Sign in to the new company. Your dashboard shows the ‘Set up your company’ card above ‘Quick access’.
Click ‘Start setup’.
The ‘Company setup’ page opens. The strip at the top shows the four steps — ‘Leave year’, ‘Currency’, ‘Workweek’ and ‘Payroll’ — and each step asks one question. Every question comes with an answer filled in — the currency and the payroll frequency follow the country you picked for the company. Change whatever doesn’t fit.
Choose when your leave year starts#
Open the ‘Leave year mode’ dropdown and choose:
‘Fixed date’ — everyone’s leave year starts on the same day. Pick this for a calendar year (1 January) or a fiscal year (for example 1 April).
‘Hire anniversary’ — each person’s leave year starts on their own hire date.
For ‘Fixed date’, enter the ‘Leave year start month’ (1–12) and the ‘Leave year start day’ (1–31). For 1 January, leave both at
1.Click ‘Next’.
Warning
Choose with care. Once leave has been granted or booked, the leave year can’t be changed — and finishing the setup grants the current leave year.
Choose your currency#
Open the ‘Default currency’ dropdown and choose the currency you pay in.
Click ‘Next’.
Hourly rates, budgets and labor costs are kept in this currency.
Choose the first day of your workweek#
Open the ‘Workweek start day’ dropdown and choose the day your workweek starts on.
Click ‘Next’.
Weekly pay periods and weekly leave accrual start on this day.
Choose how often you run payroll#
Open the ‘Payroll frequency’ dropdown and choose ‘Weekly’, ‘Bi-weekly’ or ‘Monthly’.
For ‘Bi-weekly’, the ‘Payroll anchor date’ field appears: pick any date inside one of your pay periods. Shiftavo counts your 14-day periods from it.
Click ‘Finish setup’.
The earnings your team sees in the app follow this pay period.
Tip
Each step is saved when you click ‘Next’, so you can stop half-way. Click ‘Start setup’ again to pick up: you begin at the first step, with your earlier answers filled in. ‘Back’ returns to the previous step without saving the one you’re on.
Until you finish#
While the setup is open, nothing is written to the leave ledger:
Your team can request leave, but nobody can approve it. Approving shows ‘Leave can’t be booked until the company setup is complete. The Owner finishes it from the dashboard.’
No leave balances are granted, and manual adjustments and balance imports are refused.
Hours recorded before you finish earn no hourly leave.
Everything else — locations, people, shifts, time tracking — works as usual. Only the Owner sees the card and can finish the setup.
Verify it worked#
You’re back on the dashboard, the message ‘Company setup complete. Your team can book leave now.’ appears, and the ‘Set up your company’ card is gone. Shiftavo grants the current leave year’s balances straight away, without waiting for the nightly run.
Change these settings later#
The same fields live in the company settings, where Owner and Admin can change them. Two limits apply there: the leave year stays locked once leave has been granted or booked, and once hourly rates or budgets are stored, the currency can only change to one with the same number of decimal places.
